Roehampton Elite FC – Terms & Conditions

Applies to all participants aged 4 and above enrolled in training sessions, camps, or events.


1. Registration & Payment

  • All children must be registered by a parent or legal guardian prior to attending any session.
  • Full payment must be received before participation, unless otherwise agreed in writing.
  • No refunds will be issued for missed sessions due to illness, holidays, or other personal reasons. In exceptional circumstances, credit may be applied at the club’s discretion.

2. Medical Information & Consent

  • Parents/guardians are responsible for informing Roehampton Elite FC of any relevant medical conditions, allergies, or additional needs prior to the first session.
  • In the event of illness or injury, basic first aid may be administered by trained staff. If necessary, emergency services will be contacted, and parents will be informed immediately.
  • By registering, you consent to this medical protocol unless otherwise stated in writing.

3. Safeguarding & Supervision

  • All coaches are DBS checked and sessions are run under the guidance of UEFA-licensed and appropriately qualified staff.
  • Children must be signed in and out of each session by a designated adult.
  • Parents/guardians must remain contactable throughout each session.
  • Late pick-ups (beyond the agreed time) may incur an additional fee to cover staff time and supervision.

4. Behaviour & Discipline

  • Roehampton Elite FC promotes respect, inclusion, and discipline. Disruptive, aggressive, or unsafe behaviour will not be tolerated.
  • Coaches reserve the right to remove a participant from a session if their behaviour endangers themselves or others.
  • Repeated behavioural issues may result in removal from the programme without refund.

5. Clothing & Equipment

  • All participants must arrive in suitable sportswear and football boots or trainers. Shin pads are encouraged for safety.
  • Roehampton Elite FC is not responsible for lost, damaged, or stolen items. Please label all personal belongings.

6. Photography & Media Use

  • Roehampton Elite FC occasionally takes photographs and short videos during sessions for promotional use on our website, social media, and marketing materials.
  • Parental/guardian consent will be requested at registration. Consent can be withdrawn at any time by emailing: [insert contact email].

7. Communication & Data Use

  • By enrolling, you agree to receive essential communications (e.g. session updates, cancellations).
  • You may also opt in to receive information about future classes, camps, or events.
  • Your personal data is handled in line with GDPR and will never be shared with third parties without consent.

8. Cancellations & Refund Policy

  • Roehampton Elite FC reserves the right to cancel sessions due to extreme weather, coach illness, or venue issues.
  • In such cases, a make-up session or refund will be offered where possible.
  • No refunds or credits will be issued for voluntary withdrawals once a course has started, except in exceptional cases and at the club’s discretion.
